# Automations

> The scheduled summaries and the research agents, and what each one costs

# Automations

**Automations** lists everything dronelist can run for you: the summaries that arrive on a schedule, and the agents you run yourself from a record.

The page has two tabs — **Agents** and **Recipes** — and a search box. Every card says what the automation reads, what it produces, and what it costs before you turn it on.

  You cannot write your own prompt. The list is fixed, and you choose which ones run and when.
  That is deliberate: a prompt you wrote would run with dronelist's credentials against every
  record in your workspace.

## Recipes

Recipes run on a schedule. Each one has its own day and hour, in your own time zone, and can be turned off.

### Weekly digest

Reads your open proposals, the follow-ups that are due, the jobs due a repeat, and the clients who have gone quiet — then names the few worth doing first, with an opening line already written.

It only ranks and writes. The app itself decides who has gone quiet and which proposal was opened, so no figure in it is guessed.

**Free on every plan**, including Free. It is the one AI recipe that never spends credits.

### Monthly money review

On the 1st, adds up the month that just ended: what the work earned, and which clients paid best.

Every figure is arithmetic over your own accepted proposals and rates — the same numbers the [Pricing](/docs/features/pricing) screens use, so the two can never disagree. **It calls no model, so it costs nothing on any plan.**

### Compliance check

Every Monday, checks the expiry dates you entered — licences, insurance policies, drone registrations — and says which lapse in the next 30 days or already have.

It compares dates against today and nothing more. It cannot miss one because a model summarised it away. Arrives in **Updates** with a link to [Compliance](/docs/features/compliance). **Costs nothing.**

### Proposal review

On the 1st, counts the proposals you sent last month: how many went out, how many came back as work, and what is still with a client.

It counts by the date a proposal was **sent**, while the money review counts the work that was **won** — so the two answer different questions and never contradict each other. Arrives in **Updates**. **Costs nothing.**

<Note>
  Three of the four recipes never call a model. They are arithmetic over records you already have,
  which is why they are free on every plan and why nothing in them can be invented.

## Agents

Agents research and prepare a draft. **They never send email and never change your records.**

Unlike recipes, you run an agent yourself, from the record it is about.

### Client research

From a company record, open **AI** and choose **Research client**. It looks the client up and writes back a short brief with sources, talking points, and details you could add to their record.

It also checks two public registers:

* **GLEIF**, the global business register — official name, head office, and parent company when the match is unique. Most small firms are not in it. No match is normal, not a finding that a company is fake.
* **TED**, the EU public journal — open calls and awards from that buyer in the last six months. Most local jobs never appear there, and an award is not an invitation to bid.

Results are saved on that company's **Insights** tab and kept. Run it again whenever you like — every run is preserved.

It may suggest people and company fields for you to review. Nothing is written until you choose **Add contact** or **Fill empty fields**, and only empty fields are ever filled.

### Meeting prep

From a company record, under **AI**. Pulls the upcoming calendar event, your recent emails with that client, and their record into one agenda — with the questions worth asking and a follow-up email left as a draft.

It needs calendar sync with **Keep a copy in dronelist** turned on, and it never invents a meeting that is not in your calendar.

### Site brief

From a [proposal](/docs/features/proposals), open the **Site** tab and pick the flight date. It gathers what is known about the site that day: daylight wind and gusts (including at 80–120 m), cloud, peak sun, elevation, visibility, rain, temperature, sunrise and sunset, informational airspace class, the nearest airport, mapped features within 800 m, a nearby METAR when the date is today, and a TAF when it is today or tomorrow.

It needs a business address with coordinates — set it under **Settings → Organization**. Results stay on the Site tab and earlier runs are kept; the picker under **Site brief** switches between them.

The **Weather** numbers beside the map have their own refresh button. It re-reads the forecast for the same day and costs nothing, while the brief's wording stays as it was written.

  A site brief is a **planning aid only**. It is not an official aviation briefing and not
  permission to fly. Mapped features come from OpenStreetMap and may be incomplete — something
  missing from the map is not proof the site is clear. Always confirm airspace, restrictions, and
  authorisation with the official service before every flight.

An agent run is a band, not a flat price — you are charged what the run actually took. A run that fails costs nothing.

## Scheduling

Each recipe card carries its own controls: the day (for a weekly recipe), the hour, and an on/off switch. All times are in your workspace time zone, set under **Settings → Organization**.

Automations used to live under Settings. They are their own page now.
